This Privacy Policy explains how Docket.tax collects, uses, discloses, stores, and protects information when you access or use our website, application, dashboard, docket monitoring tools, newsletters, alerts, artificial-intelligence-enabled features, and related services (collectively, the "Services").
By accessing or using the Services, you acknowledge this Privacy Policy. If you do not agree with this Privacy Policy, do not use the Services.
1. Important Notice Regarding Confidentiality, Privilege, and Information Entered Into the App
Docket.tax is not a law firm, accounting firm, tax advisor, fiduciary, or professional advisor. Use of the Services does not create an attorney-client relationship, accountant-client relationship, tax-practitioner relationship, fiduciary relationship, agency relationship, or other professional relationship.
You should not submit, upload, enter, store, or transmit confidential, privileged, protected, sealed, restricted, sensitive, proprietary, personal, client, taxpayer, return, return-information, health, financial, or other non-public information into the Services unless you have independently determined that doing so is lawful, appropriate, authorized, and consistent with your professional, ethical, contractual, and legal obligations.
Except for the Tracked-Case Data addressed in Section 2, information inputted into, uploaded to, transmitted through, stored in, processed by, or generated through the Services — including documents you upload, prompts you submit to AI-enabled features, and the content of your support communications — may be viewable by Docket.tax, its personnel, contractors, service providers, vendors, hosting providers, infrastructure providers, email providers, payment processors, artificial-intelligence providers, analytics providers, security providers, support providers, and other parties described in this Privacy Policy.
Information inputted into, uploaded to, transmitted through, stored in, processed by, or generated through the Services is not protected from disclosure by attorney-client privilege, work-product doctrine, tax-practitioner privilege, accountant-client privilege, confidentiality doctrine, common-interest doctrine, joint-defense doctrine, or any other evidentiary, legal, professional, or ethical privilege merely because it is submitted to or processed by the Services.
You are solely responsible for deciding what information to submit to the Services and for obtaining all necessary permissions, consents, authorizations, and approvals.
2. Your Tracked Cases, Notes, Tags, and Calendar
This Section describes how we treat the specific information associated with the cases you choose to track: which cases you track (linked to your account), the tags and notes you add, your alert settings, and the calendar entries generated for those cases (collectively, "Tracked-Case Data"). Where the general descriptions in Sections 5 and 6 would otherwise be broader, the commitments in this Section control for your Tracked-Case Data.
Use. We use your Tracked-Case Data only to provide the Services to you — including monitoring your cases, sending the alerts you enable, and building your calendar — and to improve the product on an aggregate basis. We do not sell it, and we do not use it for any other purpose.
Access. No one at Docket.tax is permitted to view the cases you track, your tags, your notes, or your calendar entries. Our internal tools are built so this information is not shown to us; the account information our staff can see is limited to your billing and identity details (such as name, email, customer ID, and the last four digits of your payment card), aggregate counts (such as the total number of cases tracked across the platform), and a record of the emails our system sent you (never their contents or which case they concern). The limited exceptions are described below.
Encryption. Your Tracked-Case Data is encrypted at rest on our servers and transmitted over encrypted connections.
Other users. Your Tracked-Case Data is never visible to other users of Docket.tax. If you use a shared Team account, members of your own firm's team can see the cases your team chooses to track together — but never anyone outside your team.
Limited exceptions. We may access Tracked-Case Data only where necessary to: (i) respond to a support request you have authorized, to assist you with your own account; (ii) investigate or address a genuine security incident; or (iii) comply with a valid legal obligation as described in Section 7.C. Any such access is limited to what is necessary and is recorded internally.
3. Scope of This Privacy Policy
This Privacy Policy applies to information we collect through the Services, including information collected through docket.tax, our web application, account registration, subscriptions, newsletters, support communications, payment flows, email alerts, integrations, and related interactions.
This Privacy Policy does not apply to third-party websites, applications, services, payment processors, court systems, public databases, or other third-party resources that we do not control. Those third parties may have their own privacy policies and terms.
4. Information We Collect
We may collect the following categories of information.
A. Account and Contact Information
We may collect information such as: name; email address; phone number; employer, firm, company, organization, or agency; job title or role; username, password, and account credentials; billing contact information; subscription plan information; and communications preferences.
B. Payment and Subscription Information
We may collect or receive information related to your subscription, invoices, payment status, free trial, renewal, cancellation, billing history, and transaction records. Payment card numbers and certain payment credentials are generally processed by our payment processor, Stripe, and not stored directly by Docket.tax. Stripe's collection and use of payment information is governed by Stripe's own terms and privacy policy.
C. Information You Enter Into the Services
We may collect information that you submit, upload, enter, store, transmit, or otherwise provide to the Services, including: docket numbers; case names; party names; counsel names; judge names; court, tribunal, or agency information; case notes; tags, labels, comments, and internal descriptions; search queries; prompts or instructions submitted to AI-enabled features; uploaded files or text; alert preferences; email-notification preferences; matter, client, or project descriptors; and any other information you choose to provide.
D. Docket, Court, and Public-Record Information
The Services may collect, process, display, summarize, monitor, or analyze information from publicly available sources, court systems, government websites, public APIs, third-party databases, or other public or commercial data sources. This may include case captions, docket entries, filings, orders, deadlines, party information, counsel information, judge information, filing dates, case statuses, and other public-record information.
E. Usage, Device, and Technical Information
We may automatically collect information about your use of the Services, including: IP address; browser type; device type; operating system; referring URLs; pages viewed; features used; search activity; login activity; session information; time and date of access; error logs; performance data; cookies and similar technologies; and general location information derived from IP address.
F. Communications and Support Information
If you contact us, subscribe to communications, request support, respond to surveys, or otherwise communicate with us, we may collect the content of those communications and related metadata.
G. Marketing and Newsletter Information
If you subscribe to newsletters, alerts, or marketing communications, we may collect your email address, subscription preferences, open rates, click activity, unsubscribe activity, and related engagement information.
H. Information From Third Parties
We may receive information from third parties, including payment processors, hosting providers, authentication providers, email service providers, analytics providers, security providers, public databases, court or government websites, API providers, marketing platforms, and other vendors or service providers.
5. How We Use Information
We may use information to: provide, operate, maintain, and improve the Services; create and manage user accounts; authenticate users and secure accounts; provide docket tracking, monitoring, alerts, summaries, and dashboard functionality; send transactional emails, docket alerts, account notices, support responses, and administrative messages; send newsletters and marketing communications where permitted; process subscriptions, payments, invoices, renewals, free trials, and cancellations; respond to questions and support requests; troubleshoot, debug, test, and improve the Services; monitor usage, performance, reliability, and security; detect, prevent, and address fraud, abuse, or illegal activity; develop new features, products, and services; train, evaluate, or configure automated systems subject to applicable law; enforce our Terms of Service and other policies; comply with legal obligations, court orders, and regulatory requirements; and protect the rights, property, and safety of Docket.tax, users, and the public.
6. Artificial Intelligence and Automated Processing
The Services may include artificial intelligence, machine learning, natural language processing, automated extraction, categorization, summarization, classification, or recommendation tools. Information you submit to AI-enabled features may be processed by Docket.tax and by vendors or service providers that help provide those features.
AI-generated outputs may be inaccurate, incomplete, misleading, outdated, or unsuitable for your intended use. You are responsible for reviewing and independently verifying AI-generated outputs before relying on them.
We may use information submitted to or generated by AI-enabled features to provide, maintain, secure, troubleshoot, evaluate, and improve the Services, unless otherwise stated in a separate written agreement or applicable setting.
7. How We Disclose Information
A. Service Providers and Vendors
We may disclose information to vendors, contractors, and service providers that help us operate the Services, including hosting providers, infrastructure providers, app-development platforms, database providers, payment processors, email providers, analytics providers, security providers, customer-support providers, artificial-intelligence providers, and other operational vendors.
B. Public Sources and Docket Information
Some information processed through the Services may be derived from public records, public court dockets, public filings, public websites, or government systems. We may display, summarize, analyze, or redistribute publicly available information as part of the Services, subject to applicable law and our contractual obligations.
C. Legal, Compliance, and Safety Disclosures
We may disclose information if we believe disclosure is necessary or appropriate to comply with applicable law; respond to subpoenas, court orders, or governmental requests; enforce our Terms of Service or other agreements; protect the rights, property, or safety of Docket.tax, users, or the public; detect, prevent, investigate, or address fraud or security incidents; defend against legal claims; or comply with professional, regulatory, or corporate obligations.
D. Business Transfers
We may disclose, transfer, or assign information in connection with a merger, acquisition, financing, reorganization, bankruptcy, receivership, sale of assets, or other corporate transaction or due diligence process.
E. Affiliates
We may disclose information to current or future affiliates, subsidiaries, parent companies, owners, or related entities, subject to this Privacy Policy.
F. With Your Direction or Consent
We may disclose information when you direct us to do so, when you use features that require disclosure, when you connect integrations, or when you otherwise consent.
8. We Do Not Sell Personal Information
We do not sell your personal information for money. We also do not knowingly sell personal information in the broader sense used by certain state privacy laws. If our practices change, we will update this Privacy Policy and provide any required notices or opt-out mechanisms.
9. Targeted Advertising and Sharing
We do not currently disclose personal information to third parties for cross-context behavioral advertising or targeted advertising. If we later use advertising, analytics, cookies, pixels, or similar technologies in a way that constitutes "sharing" or "targeted advertising" under applicable law, we will update this Privacy Policy and provide any legally required opt-out mechanisms.
10. Sensitive Information
Depending on what you choose to submit, the Services may process sensitive information, confidential information, taxpayer information, client information, financial information, legal matter information, or other non-public information. We do not request that you submit sensitive information unless it is necessary for your use of the Services and you have determined that submitting it is lawful, authorized, and appropriate. We use sensitive information only as reasonably necessary to provide, secure, maintain, troubleshoot, support, and improve the Services; comply with law; prevent fraud or abuse; or as otherwise disclosed in this Privacy Policy.
11. Cookies and Similar Technologies
We and our service providers may use cookies, pixels, local storage, SDKs, logs, and similar technologies to operate the Services, remember preferences, keep users logged in, improve security, measure usage and performance, troubleshoot errors, understand how users interact with the Services, and improve our website, application, and communications. You may be able to control cookies through your browser settings, though blocking cookies may affect the functionality of the Services.
12. Email Communications
We may use your email address to send transactional, administrative, account, billing, support, security, docket-alert, and service-related communications. If you subscribe to newsletters or marketing emails, you may unsubscribe using the unsubscribe link in the email or by contacting support@docket.tax. Even if you unsubscribe from marketing communications, we may still send transactional, account, billing, support, security, and service-related communications.
13. Data Retention
We retain information for as long as reasonably necessary to provide the Services, maintain your account, comply with legal obligations, resolve disputes, enforce agreements, maintain business records, prevent fraud or abuse, improve the Services, and fulfill the purposes described in this Privacy Policy. Retention periods may vary depending on the type of information, legal requirements, operational needs, and the sensitivity of the information. We may retain de-identified, aggregated, or anonymized information for lawful business purposes.
14. Security
We use commercially reasonable administrative, technical, and physical safeguards designed to protect information. However, no system, network, application, database, or transmission method is completely secure. We cannot guarantee that information will be secure or immune from unauthorized access. You are responsible for using appropriate security practices, including strong passwords, account access controls, and limiting the information you submit to the Services.
15. Your Privacy Rights
Depending on your state of residence and applicable law, you may have some or all of the following rights regarding your personal information: the right to know or confirm whether we process your personal information; the right to access personal information we maintain about you; the right to correct inaccurate personal information; the right to delete personal information; the right to obtain a portable copy; the right to opt out of the sale of personal information; the right to opt out of sharing for targeted advertising; the right to opt out of certain profiling or automated decision-making; the right to limit certain uses of sensitive personal information; the right to appeal a denied privacy request; the right not to be discriminated against for exercising privacy rights; and the right to use an authorized agent. These rights are not absolute and may be subject to exceptions under applicable law.
16. How to Exercise Privacy Rights
To exercise privacy rights, contact us at support@docket.tax with the subject line "Privacy Request." Please describe the right you wish to exercise and provide enough information for us to verify your identity and locate your account. We will respond within the time required by applicable law.
17. Appeals
If applicable law gives you a right to appeal our decision regarding a privacy request, you may appeal by emailing support@docket.tax with the subject line "Privacy Appeal." Please include the original request, our response, and the reason you believe our decision should be reconsidered.
18. California Privacy Notice
This section applies to California residents to the extent the California Consumer Privacy Act, as amended, applies to Docket.tax.
A. Categories of Personal Information Collected
We may collect: identifiers (name, email, account identifiers, IP address, billing information); customer records information; commercial information (subscription plan, purchase and billing history); internet or electronic network activity information; geolocation information (approximate, from IP address); professional or employment-related information; inferences; sensitive personal information if you choose to provide it; and other information you submit through the Services.
B. Sources of Personal Information
We collect personal information from you, your account activity, your device and browser, payment processors, email providers, hosting and infrastructure providers, public records and data sources, court and government websites, vendors, and other third parties as described in this Privacy Policy.
C–G. Purposes, Third Parties, Sale/Sharing, Sensitive Information, Retention
We collect, use, and disclose personal information for the purposes described in Sections 5 and 7. We may disclose information to categories of third parties described in Section 7, including hosting providers, Base44, Postmark, Stripe, infrastructure providers, analytics providers, security providers, AI providers, professional advisors, legal authorities, affiliates, and other vendors. We do not sell personal information for money and do not currently sell or share personal information for cross-context behavioral advertising. We retain personal information as described in Section 13.
H. California Rights
California residents may have the right to know, access, correct, delete, obtain a copy of, and opt out of certain uses or disclosures of personal information, subject to legal exceptions. Submit requests by emailing support@docket.tax.
19. Other U.S. State Privacy Rights
Residents of states with comprehensive privacy laws may have rights similar to those described in this Privacy Policy, including rights to access, correct, delete, obtain a copy of, opt out of certain processing, and appeal denied requests. To exercise these rights, contact support@docket.tax.
20. Children's Privacy
The Services are not directed to children under 13, and we do not knowingly collect personal information from children under 13. If you believe a child under 13 has provided personal information to us, contact support@docket.tax. The Services are intended for adults and professional users. Users under 18 may not use the Services without the involvement and consent of a parent or legal guardian.
21. De-Identified and Aggregated Information
We may create, use, disclose, and retain de-identified, anonymized, or aggregated information for lawful business purposes, including analytics, product improvement, research, reporting, benchmarking, security, and development of new features. We will not attempt to re-identify de-identified information except as permitted by applicable law.
22. International Users
The Services are intended primarily for users in the United States. If you access the Services from outside the United States, you understand that your information may be processed, stored, and transferred in the United States or other jurisdictions where we or our vendors operate.
23. Do Not Track and Global Privacy Controls
Because there is not a uniform industry standard for "Do Not Track" signals, we may not respond to all such signals. Where required by applicable law, we will honor legally recognized universal opt-out mechanisms or global privacy control signals for activities subject to those laws.
24. Changes to This Privacy Policy
We may update this Privacy Policy from time to time. Updated versions will be posted on docket.tax or otherwise made available through the Services. The "Effective Date" above indicates when this Privacy Policy was last updated. Your continued use of the Services after an updated Privacy Policy becomes effective means you acknowledge the updated Privacy Policy.
